EMPLOYEE RELATIONS AND SERVICES:
Acts in an advisory role to retail store employees, store management, and regional management on strategies to best resolve employment issues.
Ensures strategies and processes are utilized to comply with company policies and procedures, state/federal regulations, and company culture Responds to general HR questions from employees to provide information or direction, provide assistance in resolving and mediating minor employment issues, and/or facilitate communication with store management Receives and assists in resolving employee relation issues for field employees, such as employee complaints, supervisory conflicts, or reports of inappropriate behavior or conduct Conducts investigations for employee relation issues in the field as directed or in coordination with senior HR personnel.
Compiles factual investigation information and makes recommendation(s) for resolution HR DEPARTMENT AND COMPANY LIASON:
Conducts (on average) 5 scheduled store visits per calendar month.
May visit each assigned store multiple times per calendar year depending on business needs.
Visits assigned retail locations to pulse check and monitor employee morale, answer HR questions from store employees, verify required postings are in place, and provide recurring HR training to store management in areas such as company policies and procedures, interviewing/hiring, and performance management and development of their employees Submits summary store visit report (SVR) after each visit Continually attempts to balance being an employee advocate, management support, and the company Maintains a current knowledge of company policies and procedures, as well as state/federal laws and regulations.
Researches and maintains an awareness of HR business trends and advances in the HR profession Develops and maintains an understanding of the business and adjusts HR approach to fit the business model Develops a willingness to be involved in other aspects of the business besides HR while in the field in order to build and maintain relationships and partnerships across the company and assigned stores Models to store employees what compliance on company policies and procedures looks like, including the ethical standards, integrity, and the Business as Unusual (BAU) culture of the company Ensures company employment activities, including non-authorized compensation and company proprietary information, remain confidential and are not disclosed to unauthorized personnel.
Does not disclose or discuss employee matters with employees in other stores or departments, management issues with managers at other stores, etc STORE AND REGIONAL MANAGEMENT SUPPORT:
Assists store and regional management in interpreting and understanding company policies and procedures, state/federal laws and regulations, and what the application of such policies and regulations are to the business Provides the HR perspective to management on business situations in order to recommend best practices to manage their employees.
Helps verify management decisions adhere to state and federal statutes and regulations, and produce acceptable outcomes for all parties Assists store and regional management in with employee performance management and progressive discipline matters.
Advises and consults managers on wording and communication of growth plans, corrective action forms (CAFs), performance improvement plans (PIPs) or termination documents.
May assist in drafting employment documents for store or regional management as needed Ensures consistent and objective dismissal review process is followed when advising store management on termination situations STAFFING AND RECRUITMENT:
May assist in recruiting at job and career fairs as needed to support store and MDP program hiring needs May generate employment ads for retail stores on an as-needed basis May support recruiting and interviewing for management candidates on an as-needed basis GENERALIST AND ADMINISTRATIVE SUPPORT:
Answers incoming phone calls on cell phone, office phone, and/or HR Hotline phone line as required Processes unemployment claims and participates in hearings as necessary Scans ongoing employment records (both paper-based and digital records) in to digital personnel file in WorkDay, including documents such as corrective action forms, time off requests, unemployment claims, etc Assists in the preparation of the information required for compliance with legal requirements, government reporting regulations affecting human resource functions (EEO, ERISA, Wage and Hour, etc.
), or legal proceedings May assist other Department teammembers with processing vendor invoices for payment and reconciliation, related job duties, or department projects as assigned Adheres to company purchase card (PCard) guidelines, procedures, and spending limits as required.
Tracks all spending receipts and submits PCard expense folders to Accounting Department in a timely manner Attends team meetings and company training sessions as required SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities REQUIRED QUALIFICATIONS Bachelor's degree (B.
A.
) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
Ability to write reports, business correspondence, and procedure manuals.
Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Ability to apply concepts of basic algebra and geometry Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Ability to resolve simple or complex employment and/or interpersonal issues by analyzing, diagnosing, and understanding root causes using independent and sound judgment, as well as strong discernment skills based on the collection of factual information Ability to utilize strong communication skills with the ability to relate with all levels of experience and backgrounds of company employees Ability to utilize strong multi-tasking, organizational, prioritization, investigation, research, and follow-up skills necessary for managing multiple employment issues at one time (including hostile, inappropriate or uncertain situations) in a professional manner and under minimal supervision while in the field Ability to utilize strong HR recordkeeping and documentation practices, including but not limited to:
thorough note-taking, keeping good email and phone records (including copies of text messages and/or voicemails), creating and maintaining employee relations tracking (ERT) records, and/or following up on retrieving copies of outstanding personnel documentation Ability to utilize Microsoft Word & Excel, WorkDay, and other software applications at an intermediate level Knowledge and understanding of applicable labor laws regarding EEO/AAP, HIPAA, FMLA, ADA, etc PREFERRED QUALIFICATIONS One to two years of experience working in the retail industry in any capacity Prior or applicable experience in some or all of the following:
employee relations including the intake and resolution of employee complaints, mediation skills, conflict resolution, investigation and post-investigation processes Professional of Human Resources certification (PHR).
If certified, maintains professional affiliations and continuing education requirements by attending conferences, training events and/or workshops WORK AVAILABILITY Must maintain regular and acceptable attendance, at such level as is determined by management Must be regularly available and willing to work at least 8 hours per day, 40 hours per week or such other hours per day or hours per week as the employer determines are necessary or desirable to meet business needs, including overnight travel Must be available and willing to work such weekends and holidays as the employer determines are necessary or desirable to meet its business needs TRAVEL REQUIREMENTS This position requires frequent vehicle, air, and combination travel with overnight stays, generally with a minimum of five (5) nights away from home per month on average, depending on business needs and other factors Must meet driver's license requirements as required by the Company Must be able to legally obtain a rental vehicle in all states in which the company does business Must have current auto liability insurance PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
